The Importance of a Technical Scout

During Pre-Production we will often conduct a technical scout, sometimes called a site visit. This gives our team a chance to walk through the venue, review the layout, and understand the specific challenges of the space. Power access, acoustics, and lighting are just a few of the things we evaluate. Skipping this step is one of the most common mistakes in event planning.

By investing in proper location scouting, we can anticipate potential issues, confirm where equipment can safely load in, and map out where the crew should be during different parts of the event. Most importantly, it ensures that your vision matches what the space can support.

For example, we’ve scouted locations that looked promising on paper but revealed challenges once we visited in person. Sometimes it’s a loud, constant HVAC system right where a presentation would take place. Other times, it’s a weak signal that makes lav or handheld mics unreliable during key moments.

That’s why location scouts are so important. Taking the time to identify and address these issues early not only prevents surprises, but also gives both the client and production team confidence that the space will support a smooth experience.

Managing Load-In and Logistics

Load-in may not be the most exciting part of production, but it’s critical to a successful event. Every venue has its own quirks, whether that means tight hallways, limited parking, or elevator restrictions. Knowing these details in advance allows us to schedule arrival times and assign the right film crew for the job.

We also work closely with clients to understand exactly where they’d like us to set up. From camera placement to backstage support, clarity in advance keeps everything moving smoothly and prevents unnecessary delays.

Aligning on Schedules

When multiple vendors, performers, and teams are involved, clear communication is everything. That’s why we build detailed run-of-show documents and ask clients to note specific times and locations for our setup. This helps us coordinate with our video production crew, manage equipment and the number of carts we’re loading with, and ensure that the client and crew are all aligned.

Timing and schedules can change up until the day of the event. Sessions may be moved, speakers can switch order, and more. That’s why maintaining consistent communication with the client is crucial. It ensures that on event day, we have the most up-to-date schedule and information, so nothing gets missed on our end.

Commonly Missed Steps

Live events move quickly and even the most experienced video production teams can overlook small but important details. Some of the most common include:

  • Not confirming power sources and identifying backup options.

  • Forgetting to check internet connectivity and running speed tests.

  • Forgetting to check that the schedule has enough buffer time for last minute tweaks.

  • Missing critical audio sources (maybe you’re one microphone short on the day of).

  • Forgetting to test for and correct audio/video sync issues for live feeds.

  • Not capturing multi-channel audio separately for post-production flexibility.

  • Not taking the extra time to ensure cable management is organized so nobody has the chance to accidentally trip over long extension cords.

Addressing these items in advance avoids costly disruptions on event day.
